How to Run Sharing Report in OneDrive and OneDrive for Business
If you have been using OneDrive for a few years, you should audit your cloud storage content once in a while for security. Auditing your shared content or links helps safeguards your data. You might have shared a file or folder with sometime back, but now, it may not be a wise move to continue the sharing. To prevent that, you must check every file and folder that’s being shared. How to do that? Follow these simple steps.
Step 1: Log in to Office 365 Account
Log in to your Office 365 account. You may also use your personal OneDrive if you would like to audit your personal cloud storage files.
Step 2: Select the OneDrive Icon from Office 365 Home Page
Choose OneDrive from the list of available Office 365 services.
Step 3: Choose Settings Icon
Click on the Settings on the top of the pane
Step 4: Go to OneDrive Settings
Locate the OneDrive settings icon on the top right corner of the page and click on it.
Step 5: Click on More Settings
Locate the More Settings tab and click on it. It opens an advanced options panel. From here, click on the Run Sharing Report link.
Step 6: Select a Folder/Folders You Want to Audit
Upon clicking the link, a dialog box appears. Select the folder/s you want to run the sharing report. Click on the Save button.
Step 7: Check Your Email
After clicking Save, you will receive the sharing report in the email. Click on the link provided in the mail. Note that you will receive the sharing report in your Office 365/OneDrive registered email ID.
Step 8: Check All the Shared Content
After clicking the link, you will be taken to an OneDrive page where it shows all the files and folders that are being shared. Review each and every file/folder. Disable sharing access if you think the recipient no longer needs the access.
