Use This SharePoint Migration Strategy for Your Company
Having a well-informed SharePoint migration strategy positions your company for complete data transfer success. However, framing the right migration strategy is not without its challenges. The strategy must be comprehensive and address all the critical stages of the migration project.
To help your team get started, we have laid down several approaches that you can add to your company’s overall SharePoint Online migration strategy. Explore them below:
Choose the Right SharePoint Version During Cloud Adding
Choosing the right SharePoint version may seem unimportant. However, if overlooked, your team may not be able to proceed with the user mapping process. When using or demoing our SharePoint migration tool, make sure to add the SharePoint Online cloud from the “Business Clouds” section, as shown below in the screenshot:
When adding the SharePoint Online cloud to our migration tool, make sure to use Microsoft 365 global admin’s login information.
Map to Specific SharePoint Online Sites
Another important approach to include in your company’s SharePoint migration strategy is to map users and their data to specific SharePoint Online sites. This is especially important if you have properly segregated shared data according to teams or user roles in the source cloud storage.
Since this approach requires custom mapping to specific SharePoint Online sites, we recommend using the CSV mapping method (which is also an industry-standard method). As shown in the screenshot below, add the path of specific SharePoint Online sites to the “Destination Path” column.

Migrate Users in Several Batches
The approach of segregating the total number of users to migrate into several batches works wonders in performing the migration in a lightweight way. With this approach, your team can lower the risk of API rate limiting and avoid adding complexities to the validation process.
For example, if you have a total of 10,000 users to migrate to SharePoint Online, your team can segregate them into five batches with 2000 users in each batch. Your team can then migrate the batches one after another. Upon completion of the migration of the first batch, your team can start the migration of the second batch and validation of the first batch.
Pre-Provision Microsoft 365 User Accounts Before Starting the Migration
Another step that is often an oversight in the SharePoint migration strategy of many companies is provisioning user accounts in Microsoft 365 before starting the migration. It is best to pre-provision them to avoid any migration conflict.
Add All the Important Teams to Migration Reporting
Lastly, make sure to include all the key team members for regular migration reports. For example, our migration tool X-Change includes the option to add email IDs for sending migration reports. This way, everybody can be in the loop and keep track of the migration progress.
